First: The Faculty secretary’s summary report:

          Supervising the process of coordination and admission examinations

         Supervising financial and administrative affairs and services and ensuring that they implement their duties.

         Assisting the Deanship of the Faculty in following up on the Faculty’s requirements with the relevant authorities in the University Presidency.

         Follow up on the Faculty’s requirements and the necessary needs for equipping laboratories and maintaining halls.

         Assisting the Dean of the Faculty, his deputies, and heads of scientific departments in managing the daily activities of the Faculty.

 Second: Report of the Dean’s Office:

          Organizing the reception of student transactions from within the Faculty and directing them by the dean.

         Arranging electronic documents for the Dean’s Office.

         Receiving general mail (incoming and outgoing).

         Managing the organization of printing, copying and photocopying works.

         Supervising the organization of the Faculty Council’s work, preparing for each Council session, and distributing meeting topics to Council members at least one day before the start of the meeting.

         Follow up on the scientific departments in the Faculty to submit the minutes of their meetings and present them to the Faculty council meeting.

 Third: Academic Affairs Report:

          Documenting data and information about faculty members and assistants in the Faculty and keeping academic documents for each year in a special file.

         Tracking and monitoring the personal schedules of faculty members and their assistants to determine their coverage of the teaching quorum.

         Preparing lists of additional teaching work for faculty members and submitting them to the Deputy Dean for Academic Affairs. An inventory of the Faculty’s needs for faculty members and their assistants for coverage     and assignment from outside the Faculty.

         Submitting periodic reports on educational affairs and the affairs of faculty members and their assistants to the Deputy Dean for Academic Affairs.

 Fourth: Postgraduate studies:

          Registration and registration of students accepted for postgraduate studies in the Faculty.

         Receiving the necessary documents required in accordance with the laws and regulations of postgraduate studies at the university, in coordination with the university’s postgraduate studies prosecution office.

         Receiving the final results of the academic courses quarterly from the heads of the academic departments and the balance of the students’ grades in their records.

         Preserving and documenting the Faculty Council’s minutes of student affairs related to postgraduate studies and monitoring the implementation of the academic system stipulated in the postgraduate studies regulations.

         Supervising the organization of semester exams and following the system and controls of the postgraduate studies regulations.

         Informing students of all decisions and directives issued by the Faculty Council, the Vice Dean for Academic Affairs and Graduate Studies, and the Vice Dean for Graduate Studies at the University.

         Preparing and preparing the requirements for discussing scientific theses.

         Preparing grade data and graduation certificates for students.

         Receive and save the required copies of theses and dissertations submitted by students and distribute them to the concerned authorities and the Faculty library.

 Fifth: Student Affairs Report:

 Control:

          Receiving question envelopes for tests and storing them.

         Prepare answer books and put a control stamp on them.

         Preparing students’ attendance sheets for exams.

         Preparing a list of the presence of observers and signatures in the tests.

         Delivering the answers and test questions to the committee heads, along with a list to prepare the students and observers.

         Receiving the answer books and matching them with the signature statement of the attendance of students and observers, and the cheating records, if any.

         Handing over the answer books to the course professor along with a copy of the signature statement for the students’ attendance.

         Follow up and receive student results from teachers.

         Student results are reviewed and approved by the department and the Faculty dean.

         Monitor and save bicycles for student records and auditing.

         Approving and printing student data and academic records.

 Information Systems :

          Linking the alumni management, student affairs, and financial affairs devices to the SAR system.

         Maintaining the printer in the control system and connecting it to the SAR system.

         Maintaining the Faculty’s recorder device and connecting the device to the SAR system.

         Issuing student cards through the SAR system.

 Students Affairs :

          Receiving the necessary documents from students applying to study at the Faculty, carrying out the registration and admission procedures, and issuing university student cards to them.

         Submitting periodic reports to the Vice Dean for Student Affairs, including a comprehensive evaluation of test results

         Preparing quarterly and annual cumulative averages.

         Preserving and archiving Faculty Council minutes on student issues.

         Supervising the organization of quarterly examination committees in cooperation with the Services Department.

         The General Administration of Registration and Admission at the University will provide us with all transcripts and results for Faculty students.

         Preparing grade data and graduation certificates for students.

 Sixth: Financial Affairs:

          Supervising the Faculty’s stores and ensuring that technical and practical principles are followed in the storage process.

         Preparing the draft annual budget and final accounts for each year, as well as monthly reports, in accordance with the principles and rules.

         Print and review entitlement statements, ensure their accuracy and compliance with laws, decisions, and legal deductions, and supply them to the state treasury.

         Organizing financial operations related to the trust and advance accounts and recording their entries in the designated records.

         Identifying and estimating the needs of departments, departments, laboratories, and classrooms for equipment, furniture, and stationery.

         Conducting an annual inventory of the contents of laboratories, halls, departments, and all Faculty facilities, including equipment, furniture, and equipment.

 Seventh: Administrative Affairs Report:

          Preparing statements of financial dues, additional wages, and bonuses.

         Supervising and daily following up on controlling the process of attendance, departure and exit during the official working hours for employees .

 Organizing and following up on matters related to the settlement of employees’ situations, including appointment, transfer, resignation, dismissal, redistribution, and vacations, in accordance with the laws.

Eighth: Departmental Secretariat Report:

          Preparing departmental council meetings.

         Daily supervision of the regular conduct of teaching lectures related to faculty members.

         Supervising the preparation of graduation projects.

         Supervising topics submitted by departments to the Deanship of the Faculty.

         Printing initial discussion forms for fourth-year students for all specializations for all doctors who have graduation projects.

         Follow up on student affairs by submitting final statistics to parallel first-year students.

 Ninth: Faculty Library Report –

          Managing, organizing and developing the Faculty library and indexing rules for its contents.

         Ensuring the continuous flow of references, books, and periodicals to the library.

         Keep a copy of all master’s theses in the Faculty library.

         Work within the library is carried out in the usual traditional manner, including entry procedures to the library, the internal and external loan system, and the release and reception of students from inside and outside the university.

 Tenth: Services and maintenance report:

          Supervising and daily following up on maintenance and cleaning of all Faculty facilities, including offices, laboratories, classrooms, and bathrooms.

         Supervising guarding work and ensuring the safety of its contents from damage, theft and fires.

         Identifying and estimating the necessary requirements for maintenance, cleaning, and services workers in the Faculty.
